1. Who we are

PeasyOrders ("PeasyOrders", "we", "us") provides order-capture software for wholesale distributors. PeasyOrders is operated from the European Union; the operator's full legal details are available on request.

2. Scope

This policy explains how we process personal information through the PeasyOrders website (peasyorders.com), the PeasyOrders application, and customer support. PeasyOrders is a business service intended for companies and their authorized users, not for consumers.

3. Information we collect

We collect only what we need to operate the service.

Account information

Name, business email address, role, and organization of each authorized user; sign-in and security information; account settings; and subscription status.

Order communications

The order emails your team forwards or sends into PeasyOrders — including sender and recipient details, timestamps, message content, and attachments such as PDFs and spreadsheets. Processing these communications into order drafts is the core function of the service.

QuickBooks Online data

If your business connects QuickBooks Online, our access under the connection you authorize is limited to:

  • a continuous read of your customer records and your items and prices, kept current through change notifications;
  • a one-time read of your invoices from the last 6–12 months during onboarding, used to propose per-customer pricing that you accept; and
  • writes limited to the export document — an Estimate by default — created only after a user of your account confirms the order.

We never access payments, billing, or inventory, and we never create or edit items or price rules. You can disconnect the integration at any time, which revokes our access.

Usage and log information

Basic technical information such as IP address, browser and device information, and security, diagnostic, and error logs.

Billing information

Payments are handled by our payment processor, Paddle. We receive subscription and billing status and the billing contact; we do not receive or store full payment card numbers.

Support

Messages and requests you send to our support address.

4. How we use information

We use information to:

  • Provide the service. PeasyOrders reads the order communications your team submits and turns them into structured order drafts. A person on your team reviews and confirms every order before it is exported — nothing is posted to QuickBooks Online automatically.
  • Process order content with AI. Order communications are processed using the Anthropic API to help read and structure order content. Under Anthropic's Commercial Terms of Service, Anthropic may not train its models on the content we submit through the API.
  • Support you — respond to requests and resolve technical issues.
  • Bill you — manage subscriptions through our payment processor.
  • Protect the service — secure accounts, prevent misuse, and investigate incidents.
  • Comply with law — meet applicable legal obligations.

We do not sell personal information, and we do not use customer data for advertising.

5. Where your data is stored

Customer data is stored in Frankfurt, Germany (European Union). Where a service provider processes information outside the European Economic Area, we rely on appropriate safeguards for the transfer, such as the European Commission's Standard Contractual Clauses.

6. Service providers

We share information only with the service providers needed to run PeasyOrders, and only for that purpose:

  • Hosting and infrastructure — the providers that run the service and store customer data in Frankfurt, Germany.
  • AI processing — Anthropic, whose API processes order content as described above.
  • Payment processing — Paddle, which handles checkout, billing, and payments.

We may also disclose information where required by law, to protect the rights or security of PeasyOrders or others, or in connection with a permitted business transaction.

7. Our role in processing

For website, account, billing, and support information, PeasyOrders determines how and why the data is processed and acts as the data controller.

For the order communications and business data a customer submits or connects, that customer decides why the information is processed; PeasyOrders processes it on the customer's behalf to provide the service. Customers are responsible for using the service lawfully and for providing any notices their own customers or contacts require.

Where the GDPR applies, we process personal information as necessary to perform a contract or take steps requested before one, to comply with legal obligations, for legitimate interests such as operating and securing the service (where not overridden by your rights), or with consent where consent is required.

9. Your rights and deletion requests

Depending on applicable law, you may have the right to access, correct, delete, or export your personal information, to restrict or object to certain processing, and to withdraw consent where processing is based on it.

To exercise any of these rights, or to request deletion of your account or data, email support@peasyorders.com. We may ask for reasonable information to verify your identity and authority, and we will confirm once a verified request is completed. Disconnecting the QuickBooks Online integration — from either PeasyOrders or QuickBooks — revokes the connection immediately.

Limited information may be retained after deletion where the law requires it or where it is reasonably necessary for security, fraud prevention, or the defense of legal claims.

If your information was submitted to PeasyOrders by a business that uses the service, please contact that business first; we assist our customers with valid requests.

If you are in the European Economic Area, you may also lodge a complaint with your local data protection authority. If you are a California resident, you have the rights to know, correct, and delete personal information under the CCPA and the right not to be discriminated against for exercising them; we do not sell or share personal information as those terms are defined by California law.

10. Retention

We keep information only as long as reasonably necessary to provide the service, meet legal and contractual obligations, resolve disputes, and enforce agreements. Deleted information may persist in protected backups for a limited period before being overwritten through normal backup cycles.

11. Security

We use reasonable technical and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Cookies

The PeasyOrders website does not set cookies and does not use analytics, advertising, or tracking technologies. The PeasyOrders application uses only what is strictly necessary to sign users in and keep their sessions secure. Because we use no non-essential cookies, no cookie consent banner is shown.

13. Children

PeasyOrders is a business service and is not directed to children.

14. Changes to this policy

We may update this policy as the service or legal requirements change. When we do, we will revise the "Last updated" date shown at the top of this page; for material changes, we will provide additional notice where required.
